FAQ – Customer Panel

We want working in the Cloudflow Customer Panel to be as simple as possible for you.

Before reaching out to your Account Manager, check the answers to our customers’ most frequently asked questions. Our step-by-step guides will help you quickly approve your project and send it into production.

Getting started & logging in (Onboarding)

If you are our client, you can get free access to the Customer Portal. We set up access upon request. To activate it, simply let your Account Manager know. Once we receive your request, our team will create users in the system and generate temporary passwords for your first login.

If you have lost or forgotten your password, please contact your Account Manager directly. Our support team will promptly generate and send you a new password for your account.

The most common cause is internal network restrictions within your company.

Solution: Contact your IT department and ask them to add our Portal’s web address to their whitelist (trusted sites).

If this doesn’t resolve the issue, let us know—our R&D department will quickly help troubleshoot and fix the problem.

Yes, you have two options for involving your colleagues:

Add a permanent Customer Portal user: Creating full user accounts is handled on our end. If you would like someone from your company to receive permanent access and their own account in the Portal, simply let us know—we will create the user and generate login details for them.

Add an approval contact (without creating an account): You can independently add your colleagues’ contact details directly in the Customer Portal. They will receive approval links for specific artworks, but they will not have their own account in the Portal.

Working with artworks & the approval process

When our graphic designer prepares a project, you will receive an email notification:

What to do: Click the yellow “OPEN” button in the email to go directly to the proofing tool (Proofscope). Subject line: PRESTON – Artwork for approval KPXXXX_YYYY (where the suffix is your job ticket number, e.g., KP1274_2023).

All projects awaiting your action can be found in the “To approve” (or Pending Approval) tab on your main dashboard after logging in.

Once you approve the artwork, its status will change, and you will receive an email confirming the approval of the Project. The notification will also instantly reach your Account Manager and Prepress Studio. The job then moves on to the next stage of order fulfillment.

⚠️ IMPORTANT: Please thoroughly review the file every time before clicking approve—including the accuracy of all text, layout, and layers. Once approved, changes can no longer be made, as the order processing is underway from that moment on.

If the project requires changes, add your comments directly onto the design using notes. NOTE: Adding feedback via notes is required before rejecting the proof. Then, click the red “Reject” button. The rejection notice and your comments will automatically be sent to the graphic designer and your Account Manager. Based on your feedback, we will prepare a revised version for you.

No. The system ensures that graphic designers don’t have to guess what needs fixing. The “REJECT” button will only work if you have previously added at least one note describing the error onto the artwork.

How to add a note: Click the “Notes” icon (yellow sticky note) in the top toolbar, click on the area of the graphic where the error is located, type your comment, and click “Save note”.

The “Delegate” button in the “TO APPROVE” tab allows you to invite other people from inside or outside your company into the review process.

Simply select a user from the list and choose one of the 3 convenient modes:

  • Transfer approval rights to another person: You pass full decision-making authority to your colleague, and you will lose the ability to click “Approve/Reject” yourself.
  • Add a user with approval rights: The project will only be approved once both you and the selected person click “Approve”.
  • Add a user without approval rights (Recommended for consultations): Your colleague can access the project and add their notes/suggestions, but cannot approve or reject the file themselves. The final decision remains with you.

Proofscope is a powerful, professional online tool. Without installing any software, you can verify:

  • Separations, including spot and technical colors
  • Precise overlay of the die line (die-cut grid) on the artwork
  • Barcode content
  • Project details: dimensions, substrate, printing method, planned embellishments, and print finishing processes

We strongly recommend using only the file downloaded via the link in your email!

  • File from the email link (Recommended): This is a full-fledged, professional production PDF. It preserves all original layers, the die line, and spot colors (Pantone/technical).
  • File downloaded from Proofscope: This is only a simplified, compressed preview version. Due to image flattening and color rasterization, we do not recommend using this version, as it may lead to misunderstandings when evaluating design details and color accuracy.

You can download the full, production-ready PDF in two ways:

Via email: Click the “Approval proof” (or Acceptance proof) link in the notification email about the generated proof or the approval confirmation email.

From the Customer Portal: Go to the “Projects” tab, find the project you are interested in, and then click the “Download” icon in the approval section.

All files can be found in the “Projects” tab. There, you will find a complete archive organized by convenient statuses: in progress, completed, canceled, and drafts. You have 24/7 access to them.

Creating projects

It’s very simple!

  1. Log in to the Customer Portal and go to the “My files” tab.
  2. Upload the file from your computer (using drag-and-drop or by selecting it from your drive).
  3. Once uploaded, you can immediately create a new project card based on that file, or assign it to an existing project or an open price quote.
